Record an Entry
Recording an entry is the core action in BookKeep. This page covers where to record, the steps, how to enter amounts, the optional settings, and how to edit and delete.
Where to find it
| App | Location |
|---|---|
| The Android app | The "+" button at the bottom-right corner of the home screen |
| The web app | The quick-entry control on the home page |
| The desktop app | "Record an Entry" in the left navigation, or the keyboard shortcut Ctrl+N |
Steps
- Pick a category: first choose the top-level group (Expense / Income / Other), then tap a specific category; tapping a category that has subcategories expands them
- Enter the amount
- Add optional details (all can be skipped):
- Date: defaults to today; to record an entry from a few days back, just change the date
- Ledger: if you don't pick one, the entry goes into the default ledger
- Tags: you can select several
- Note
- Save
Three ways to enter an amount
| Method | How | Example |
|---|---|---|
| Enter the amount actually paid | Type the final amount paid | Paid ¥80.00 |
| Original price + discount | Enter the original price and the discount; the amount paid is calculated automatically | Original price 100, discount 20 → paid 80 |
| Calculator arithmetic | The amount field supports the four basic arithmetic operations | Type 25.5×2 → 51 |
The Android app and the desktop app support calculator arithmetic and the "original price / discount" mode when entering amounts.
Entry options
| Option | What it does |
|---|---|
| Ledger | Decides which ledger the entry is recorded in; if you don't choose one, it goes into the default ledger |
| Tags | You can apply several tags at once, for flexible filtering and statistics |
| Excluded from income & expense totals | Shown only in the transaction list; does not count toward income / expense statistics. Suitable for transfers, internal moves, and similar |
| Excluded from budget | Does not use up this month's budget. Suitable for non-everyday spending such as investing or loan repayment |
| Star | Marks an entry as important so it is easy to find |
| Link to subtotal | Puts this entry into a subtotal so you can see the total there |
Editing and deleting
- Edit: open an entry in the transaction list, make your changes, and save
- Delete: single entries can be deleted; on the Android app you can press and hold to enter multi-select mode and delete in batches
- Deleted entries cannot be recovered — please double-check before confirming
