Subtotals and Notes
A subtotal is a temporary grouping of a set of related entries: the original entries stay untouched, and they are gathered into one view so you can see the total. It answers questions like "how much did groceries cost this month" or "how much did this trip cost in total".
Structure
A subtotal has two levels: groups and items. For example:
- Group "Everyday shopping" → items "Groceries", "Household supplies"
- Group "May Day trip" → items "Transportation", "Lodging", "Tickets"
Where to find it
| App | Location |
|---|---|
| The Android app | "Me → Subtotals" |
| The web app | Left menu, "Subtotals" |
| The desktop app | Left navigation, "Manage → Subtotals" |
Common tasks
- Create a subtotal: enter a name, choose whether it is a group or an item under a group, and add an optional note
- Link entries: open the subtotal, choose "Link entries", and tick entries (multiple allowed) from the transaction list to add. You can also pick "Link to subtotal" directly while recording or editing an entry
- View statistics: the subtotal detail shows the number of linked entries, income / expense counts, income / expense totals, and the entry list
- Unlink: move entries out of the subtotal at any time; the entries themselves are not affected
Subtotals vs. ledgers
A ledger is the permanent home of an entry and affects every statistic; a subtotal is just a grouping view laid over entries you have already recorded, and deleting a subtotal does not touch the entry data. One-off totals (a trip, a renovation, a single shopping run) are better handled with a subtotal.
